Set Designer

Job Description

SET DESIGNER/TECHNICIANS’ RESPONSIBILITIES: The Set Designer/ Technicians shall be responsible
to CTOC for design of the set for a production. Such responsibilities shall include, but not be
limited to, the following activities:

  • Participate in a production meeting prior to auditions. The production meeting will
    be attended by the Director, Assistant Director, Set Technicians, Costume Designer,
    Prop Master, CTOC’s General Manager.
  • Coordinate and meet with the Director prior to rehearsal beginning for each show to
    discuss the Director’s vision for the set design.
  • Coordinate with the Director and the Clay Center Liaison the Backdrops that will be
    ordered for the production.
  • Within fifteen (15) days of meeting with the Director, prepare a drawing or illustration
    of the design concept that must be presented and approved by the Director.
  • Notify CTOC’s 2nd Vice President or General Manager of any costs or expenses for the
    design and building of the set that are over the prescribed set budget.
  • Consult with Director regarding set plans and any issues regarding construction and
    design that occur during the building process.
  • Construct the set in a manner that is safe and appropriate for children. Additionally,
    the set shall be constructed in such a manner so as to not cause any damage to the
    stage upon installation or set up.
  • At certain times during the construction process, the Director will inspect the set to
    ensure compliance with plans and safety requirements. The Set Technicians will
    discuss any concerns the Director may have in regard to the set and make appropriate
    changes as needed and agreed upon by the Director and Set Technicians. If there are
    issues between the Director and Set Technicians regarding the set design, plan, set,
    safety, etc., the Director and Set Technicians will immediately contact the General
    Manager and 2nd Vice-President of CTOC, to discuss the issues.
  • Set Technician should have the majority of the set prepared and ready to use the
    Sunday of tech week.
  • Set Technician is responsible for moving and installing the set into the performance
    venue (including arrangements for a rental truck). The set must be moved to the
    theater venue by 3:00 p.m. on Sunday, of tech week.
  • During the week of technical rehearsals and school performances, Set Technician will
    be available should issues or concerns with the set arise.
  • Ensure that all set pieces are removed from the performance venue at the end of the
    last show. The Set Technician will also ensure that within two (2) weeks after the last
    performance and strike of the set, the set pieces are not only returned to the CTOC
    workshop, but the set and construction area are organized and cleaned.
  • Responsible for ensuring the backdrops are shipped back to the rental company the
    day after strike.
  • If a Teen Apprentice Set Tech is identified, Set Technicians will work with the Beyond
    the Stage CTOC Board Advisor to create tentative schedule & expectations for teen
    apprentice.

MUSICAL DIRECTOR

JOB DESCRIPTION

The Musical Director will possess the ability to conduct the musical ensemble being used
for the show, while helping to instill in the children a love of theatre, an excitement for
performance, and a willingness to collaborate. He/she must possess excellent
communication and organizational skills, must be self-motivated, efficient, and creative.
Experience working with children is especially important.
The following are the duties and responsibilities of the Musical Director:

The Musical Director will participate in a production meeting prior to auditions.
The production meeting will be attended by the Director, Assistant Director,
Musical Director, Set Technician, Costume Designer, Prop Master, CTOC’s General
Manager

  • The Musical Director will meet with the Director prior to auditions to discuss the
    Musical Director’s responsibilities and duties for the show.
  • The Musical Director will attend all auditions. F i n a l cast selection decisions
    will be made by the Director.
  • The Musical Director will attend callbacks, if deemed necessary.
  • The Musical Director is required to attend all rehearsals that require music and
    all performances.
  • The Musical Director, 30 days after receiving the score, should alert CTOC about
    any additional needs or concerns not covered. The Musical Director is
    responsible for identifying any musicians/instrumental needs and coordinating
    musician recruitment.
  • The Musical Director will be compensated in the amount of
    $1000.00 to be paid in three equal installments
  • *If an Apprentice Musical Director is identified, the Musical Director will work with
    the Beyond the Stage CTOC Board Advisor to create tentative schedule & position
    summary to ensure CTOC policies are followed and expectations are mutually
    agreeable.

COSTUME DESIGNER

JOB DESCRIPTION

COSTUME DESIGNERS’ RESPONSIBILITIES: The Costume Designers shall be responsible to CTOC for
design of the costumes for the production. Such responsibilities shall include, but not be
limited to, the following activities

Participate in a production meeting prior to auditions. The production meeting will be
attended by the Director, Assistant Director, Musical Director (for all musical shows),
Set Technicians, Costume Designers, Prop Master, and CTOC’s General Manger.

  • Within thirty (30) days of receiving the Script and no later than three (3) days after the
    production meeting, the Costume Designer shall notify CTOC’s designated contact of
    any additional costume requirements they feel are required for the production that
    have not been addressed.
  • The Costume Designer will determine the specific costume needs as outlined in the
    script with the Director and design and create a costume plot/spreadsheet
    appropriate for the show.
  • The Costume Designer is responsible for providing a list to the General Manager for
    any individuals or entities that should be listed in the show program for
    acknowledgement and/or appreciation.
  • The Costume Designer will supervise the Costume crew volunteers in taking
    measurements, fitting, altering and fabricating of costumes.
  • The Costume Designer must ensure that cast members are measured and
    documented in a way that is respectful of privacy. Boys and girls will be measured
    separately.
  • The Costume Designer is responsible for ensuring that all necessary costumes for a
    given production are completed prior to the first Dress Rehearsal with the
    majority of the costumes done by the beginning of tech week.
  • The Costume Designer is also responsible for ensuring the costumes are stored at
    night as necessary.
  • The Costume Designer must attend all dress rehearsals and be available to make
    repairs or changes to any costumes that are needed during rehearsal week.
  • The Costume Designer is to work within the allotted budget and make purchases that
    are necessary to complete the costume plot of the show. All receipts must be
    provided to the CTOC Treasurer.
  • The Costume Designer is responsible for ensuring all costumes are removed from the
    performance venue at the end of the final performance. The Costume Designer is
    also responsible for ensuring that within two (2) weeks after the last performance and
    strike of the set, all costume pieces are not only returned to the CTOC workshop, but
    that they are properly cleaned and stored in CTOC’s costume area in an organized
    manner.
  • The Costume Designer is responsible for returning any rented or borrowed costume
    pieces to their rightful owners.
  • If an Apprentice Costume Designer is identified, the Costume Designer will work with
    the Beyond the Stage CTOC Board Advisor to create tentative schedule & position
    summary to ensure CTOC policies are followed and expectations are mutually
    agreeable.

ASSISTANT DIRECTOR

The Assistant Director will possess the ability to keep the production running smoothly,
while helping to instill in the children a love of theatre, an excitement for performance,
and a willingness to collaborate. He/she must possess excellent communication and
organizational skills, must be self-motivated, efficient, and creative. Experience working
with children is especially important.
The following are the duties and responsibilities of the Assistant Director:

  • The Assistant Director will participate in a production meeting prior to auditions.
  • The production meeting will be attended by the Director, Assistant Director, Musical
    Director (for all musical shows), Set Technician, Costume Designer, Prop Master, and
    CTOC’s General Manager.
  • The Assistant Director will meet with the General Manger and Director prior to
    auditions to discuss responsibilities and duties for the show.
  • The Assistant Director will attend all auditions. Cast selection final decisions will be
    made by the Director.
  • The Assistant Director will attend callbacks, if deemed necessary.
  • The Assistant Director is the point person for any cast member to inform CTOC of
    any absences.
  • The Assistant Director will be responsible for communicating with the General
    Manager, as needed, regarding changes or additions to the rehearsal schedule and
    other items.
  • The Assistant Director within a week of casting will create an emergency
    contact list for the entire cast and share with the General Manager
  • The Assistant Director must take attendance for cast members at each rehearsal
    and performance. The Assistant Director must text or call those missing from
    rehearsal that have not provided a prior conflict.
  • The Assistant Director will oversee the check in and check out of all cast
    members at the rehearsal space and also at the Clay Center.
  • The Assistant Director will enforce the no electronic policy and a quiet
    working atmosphere for rehearsals. The AD is allowed to assign rehearsal
    seats as needed.
  • The Assistant Director will assist in the dispersal and collection of rented
    rehearsal scripts/music.
  • The Assistant Director is to attend all rehearsals and performances. If you need to
    be absent, make arrangements with the General Manager for coverage. The
    Assistant Director will oversee cast backstage at the Performance venue.
  • If an Apprentice Assistant Director is identified, the Assistant Director will work with
    the Beyond the Stage CTOC Board Advisor to create tentative schedule & position
    summary to ensure CTOC policies are followed and expectations are mutually
    agreeable.

PROP MASTER

PROP MASTER’S RESPONSIBILITIES: The Prop Master shall be responsible to CTOC for design of the props
for given production. Such responsibilities shall include, but not be limited to, the following activities:

DIRECTOR

JOB DESCRIPTION

The Director will possess the ability to mount a children’s theatre production while
instilling in the children a love of theatre, an excitement for performance, and a
willingness to collaborate. The primary responsibility of the Director is to create a
children’s theatre production by interpreting the script, choosing a cast, conducting
rehearsals and guide the performance of the cast. He/she must possess excellent
communication and organizational skills, must be self-motivated, efficient, and creative,
and must be able to delegate tasks and oversee their completion. Experience working
with children is especially important.
The following are the duties and responsibilities of the Director:

Within 30 days of receipt of the Script, the Director shall notify CTOC of any
additional needs they feel are required for the production, such as staffing
(makeup artist, etc.), set pieces, equipment, etc.

  • The Director will participate in a production meeting prior to auditions or the
    week after auditions. The production meeting will be attended by the Director,
    Assistant Director, Musical Director (for all musical shows), Set Technician,
    Costume Designer, Prop Master, CTOC’s General Manager.
  • The Director must meet with the Assistant Director prior to auditions to
    discuss the Assistant Director’s responsibilities and duties for the show.
  • The Director must meet with the Musical Director (for all musical shows) prior to
    auditions to discuss the Musical Director’s responsibilities and duties for the
    show.
  • The Director, Assistant Director, Musical Director (for all musical shows) and
    one member of CTOC’s Board of Directors will attend auditions. Cast selection
    decisions will be made by the Director.
  • The Director must conduct open auditions on two dates to be selected
    between CTOC and the Director.
  • The Director will not schedule any individual auditions or auditions on dates
    other than the dates set by CTOC and the Director.
  • The Director will schedule and conduct selected callbacks, if deemed necessary.
  • The Director will notify the CTOC General Manager with final cast list 5 days
    after open auditions have closed. The Director has final decision for cast list.
  • The Director will coordinate and meet with the Set Technician, Costume
    Master, and Prop Master to discuss their vision for the stage, costume, props
    and other related items. The Director will continue to meet with them as the
    rehearsal and production progresses to make sure objectives are being met.
  • The Director will coordinate and meet with the sound and lighting technicians.
  • The Director is required to attend all rehearsals, if there are any conflicts,
    arrangements need to be made with the General Manager for coverage.
  • The Director will periodically inspect the set being constructed to
    ensure compliance with set design and safety aspects.

*If a Teen Apprentice Director is identified, the Director will work with the Beyond the
Stage apprentice. The BTS Advisor will help to create tentative schedule & expectations
for teen apprentice.
During the production, the Director’s contact for all issues related to the production
is CTOC’s General Manager and/or 2nd Vice President (or their Designee). The
Director will be compensated in the amount of $1500.00 to be paid in three equal
installments.

  • The Choreographer will attend callbacks, if deemed necessary.
  • The Choreographer is required to attend all rehearsals that require dance/movement
    direction and all performances.
  • The choreographer will create and plan the choreography for the production.
  • The Choreographer will teach choreography to the cast,
    taking time to teach dance techniques as needed.
  • *If a Teen Apprentice Choreographer is identified, the Choreographer will work with the
    Beyond the Stage CTOC Board Advisor to create tentative schedule &expectations for the
    teen apprentice..
