Designer (Set) / Technician (Set)

Job Description

SET DESIGNER / SET TECHNICIAN’S RESPONSIBILITIES: The Set Designer/Set Technician shall be responsible to CTOC for the design, construction, and management of the set for a given production. Such responsibilities shall include, but are not limited to, the following activities:

  • Participate in regular production meetings attended by the Director, Stage Manager, Assistant Director, Set Designer/Set Technicians, Costume Designer, Prop Master, and CTOC’s General Manager.
  • Meet with the Director prior to rehearsals to review responsibilities, expectations, and the Director’s vision for the set design.
  • Coordinate with the Director and the Stage Manager regarding any backdrops or other set pieces to be ordered for the production.
  • Within fifteen (15) days of meeting with the Director, prepare a drawing or illustration of the set design concept to be presented and approved by the Director.
  • Notify CTOC’s General Manager and/or 2nd Vice President of any costs or expenses that exceed the prescribed set budget.
  • Consult with the Director regarding set plans and address any issues regarding construction, design, or safety during the building process.
  • Construct the set in a safe manner appropriate for children and in a way that does not damage the stage during installation or use.
  • Ensure that the majority of the set is prepared and ready for use by Sunday of tech week.
  • Move and install the set into the performance venue, including arrangements for a rental truck. The set must be in the theater by 3:00 p.m. on Sunday of tech week.
  • Be available during technical rehearsals and school performances to address any issues or concerns with the set.
  • Ensure all set pieces are removed from the performance venue at the end of the last show and that within two (2) weeks after the final performance and strike, all set pieces are returned to the CTOC workshop and the set/construction area is organized and cleaned.
  • Ensure that any rented backdrops are returned to the rental company immediately after strike.
  • Advise the Stage Manager of any set-related or technical needs during rehearsals and performances.
  • If a Teen Apprentice Set Technician is identified, work with the Beyond the Stage CTOC Board Advisor to create a tentative schedule and expectations for the apprentice consistent with CTOC policies.

DIRECTOR (MUSICAL)

JOB DESCRIPTION

MUSICAL DIRECTOR’S RESPONSIBILITIES: The Musical Director shall be responsible to CTOC for all musical aspects of a given production. Such responsibilities shall include, but are not limited to, the following activities:

  • Participate in a production meeting prior to auditions. The production meeting will be attended by the Director, Assistant Director, Stage Manager, Musical Director, Set Designer, Costume Designer, Prop Master, and CTOC’s General Manager.
  • Meet with the Director prior to auditions to review responsibilities, expectations, and artistic vision for the production.
  • Attend all auditions; final casting decisions are made by the Director.
  • Attend callbacks if deemed necessary.
  • Attend all rehearsals involving music and all performances.
  • Teach music, vocal parts, and harmonies to the cast as appropriate for the production.
  • Within thirty (30) days of receiving the score, notify CTOC’s General Manager and/or 2nd Vice President of any additional musical needs or concerns not already addressed.
  • Identify all musician and instrumental needs and coordinate musician recruitment as necessary.
  • Advise the Stage Manager of all musical and technical needs, including sound, microphones, orchestra placement, or instrumentation.
  • If an Apprentice Musical Director is identified, work with the Beyond the Stage CTOC Board Advisor to create tentative schedule and expectations for the teen apprentice consistent with CTOC policies.

The Musical Director will be compensated in the amount of $1,000.00 to be paid during the production schedule.

DESIGNER (COSTUME)

JOB DESCRIPTION

COSTUME DESIGNER’S RESPONSIBILITIES: The Costume Designer shall be responsible to CTOC for the design, creation, and management of all costumes for a given production. Such responsibilities shall include, but are not limited to, the following activities:

  • Participate in regular production meetings prior to auditions attended by the Director, Stage Manager, Assistant Director, Musical Director (for musical productions), Set Designer/Set Technicians, Costume Designer, Prop Master, and CTOC’s General Manager.
  • Within thirty (30) days of receiving the script and no later than three (3) days after the first production meeting, notify CTOC’s designated contact of any additional costume requirements not already addressed.
  • Determine the specific costume needs as outlined in the script and work with the Director to create a costume plot/spreadsheet appropriate for the production.
  • Provide a listing of any individuals or entities who should be acknowledged in the show program to CTOC’s General Manager.
  • Supervise Costume Crew volunteers in measuring, fitting, altering, and fabricating costumes.
  • Ensure that cast members are measured and documented respectfully, with boys and girls measured separately.
  • Ensure all necessary costumes are completed prior to the first dress rehearsal, with the majority completed by the beginning of tech week.
  • Ensure costumes are stored safely at night as needed.
  • Attend all dress rehearsals and be available to make repairs or changes to costumes as needed during rehearsal week.
  • Work within the allotted budget and make purchases necessary to complete the costume plot. All receipts must be provided to the CTOC Treasurer.
  • Ensure all costumes are removed from the performance venue at the end of the final performance and that, within two (2) weeks after the last performance and strike, all costumes are returned to the CTOC workshop, properly cleaned, and organized in the costume area.
  • Return any rented or borrowed costume pieces to their rightful owners.
  • Advise the Stage Manager of any costume-related or technical needs during rehearsals and performances.
  • If an Apprentice Costume Designer is identified, work with the Beyond the Stage CTOC Board Advisor to create a tentative schedule and position summary consistent with CTOC policies.

DIRECTOR (ASSISTANT)

JOB DESCRIPTION

The Assistant Director will possess the ability to keep the production running smoothly while helping to instill in the children a love of theatre, an excitement for performance, and a willingness to collaborate. He/she must possess excellent communication and organizational skills, must be self-motivated, efficient, and creative. Experience working with children is especially important.

  • The Assistant Director will participate in a production meeting prior to auditions.
  • The Assistant Director will attend regular production meetings with the Director, Stage Manager, Musical Director (for all musical shows), Set Technician, Costume Designer, Prop Master, and CTOC’s General Manager.
  • The Assistant Director will meet with the General Manager and Director prior to auditions to discuss responsibilities and duties for the show.
  • The Assistant Director will attend all auditions. Cast selection final decisions will be made by the Director.
  • The Assistant Director will attend callbacks, if deemed necessary.
  • The Assistant Director is the point person for cast members to inform CTOC of any absences.
  • The Assistant Director will be responsible for communicating with the General Manager, as needed, regarding changes or additions to the rehearsal schedule and other production-related items.
  • Within one week of casting, the Assistant Director will create an emergency contact list for the entire cast and share it with the General Manager.
  • The Assistant Director must take attendance for cast members at each rehearsal and performance. The Assistant Director must text or call those missing from rehearsal who have not provided prior notice of a conflict.
  • The Assistant Director will oversee the check-in and check-out of all cast members at the rehearsal space and at the Clay Center.
  • The Assistant Director will enforce a no-electronics policy and maintain a quiet, focused working atmosphere during rehearsals. The Assistant Director may assign rehearsal seating as needed.
  • The Assistant Director will assist in the dispersal and collection of rented rehearsal scripts and music.
  • The Assistant Director will attend all rehearsals and performances. If there are any conflicts, arrangements must be made with the General Manager for coverage. The Assistant Director will oversee cast members backstage at the performance venue.
  • The Assistant Director will communicate any changes or updates related to technical needs, costumes, or set elements with the Stage Manager to ensure coordination and collaboration across all technical areas of the production.
  • If an Apprentice Assistant Director is identified, the Assistant Director will work with the Beyond the Stage CTOC Board Advisor to create a tentative schedule and position summary to ensure CTOC policies are followed and expectations are mutually agreeable.

DIRECTOR

JOB DESCRIPTION

The Director will possess the ability to mount a children’s theatre production while instilling in the children a love of theatre, an excitement for performance, and a willingness to collaborate. The primary responsibility of the Director is to create a children’s theatre production by interpreting the script, choosing a cast, conducting rehearsals, and guiding the performance of the cast.

The Director must possess excellent communication and organizational skills, be self-motivated, efficient, and creative, and be able to delegate tasks and oversee their completion. Experience working with children is especially important.

  • Within 30 days of receipt of the script, the Director shall notify CTOC of any additional needs they feel are required for the production, such as staffing (makeup artist, etc.), set pieces, equipment, or other resources.
  • The Director will participate in a production meeting prior to auditions or during the week following auditions. The production meeting will be attended by the Director, Assistant Director, Musical Director (for all musical productions), Set Technician, Costume Designer, Prop Master, and CTOC’s General Manager.
  • The Director must meet with the Assistant Director prior to auditions to discuss the Assistant Director’s responsibilities and duties for the production.
  • The Director must meet with the Musical Director (for all musical productions) prior to auditions to discuss the Musical Director’s responsibilities and duties for the production.
  • The Director, Assistant Director, Musical Director (for all musical productions), and one member of CTOC’s Board of Directors will attend auditions. Cast selection decisions will be made by the Director.
  • The Director must conduct open auditions on two dates mutually selected by CTOC and the Director.
  • The Director will not schedule individual auditions or auditions on dates other than those approved by CTOC.
  • The Director will schedule and conduct callbacks if deemed necessary.
  • The Director will notify the CTOC General Manager of the final cast list no later than five (5) days after open auditions have concluded. The Director has final decision-making authority regarding casting.
  • The Director will coordinate and meet with the Stage Manager, Set Technician, Costume Designer, and Prop Master to discuss their vision for the set, costumes, props, and related elements, and will continue to meet with them throughout the rehearsal and production process to ensure objectives are being met.
  • The Director will coordinate and meet with sound and lighting technicians.
  • The Director will meet regularly with the Stage Manager to ensure clear communication, collaboration, and coordination across all technical areas of the production, including rehearsals, run-throughs, and performances.
  • The Director is required to attend all rehearsals. If conflicts arise, arrangements must be made with the General Manager for appropriate coverage.
  • The Director will periodically inspect the set during construction to ensure compliance with design specifications and safety requirements.

*If a Teen Apprentice Director is identified, the Director will work with the Beyond the Stage (BTS) apprentice. The BTS Advisor will assist in creating a tentative schedule and expectations for the teen apprentice.
During the production, the Director’s primary point of contact for all production-related issues will be CTOC’s General Manager and/or 2nd Vice President (or their designee).

The Director will be compensated $1,500, paid in three equal installments.

CHOREOGRAPHER’S RESPONSIBILITIES: The Choreographer shall be responsible to CTOC for the design, instruction, and management of all dance and stylized movement for a given production. Such responsibilities shall include, but are not limited to, the following activities:

  • Participate in a production meeting prior to auditions. The production meeting will be attended by the Director, Assistant Director, Musical Director.  Attend regular production meetings throughout the rehearsal process attended by Director, Stage Manager, Assistant Director, Set Designer/Technicians, Costume Designer, Prop Master, and CTOC’s General Manager.
  • Meet with the Director prior to auditions to review responsibilities, expectations, and artistic vision for the choreography.
  • Attend all auditions if needed; final casting decisions are made by the Director.
  • Attend callbacks if deemed necessary.
  • Attend all rehearsals involving dance or movement direction and all performances.
  • Create and plan the choreography for the production.
  • Teach choreography to the cast, including instruction on dance techniques as needed.
  • Advise the Stage Manager and Director of any technical needs related to choreography.
  • If a Teen Apprentice Choreographer is identified, work with the Beyond the Stage CTOC Board Advisor to create a tentative schedule and expectations for the apprentice consistent with CTOC policies.
